Hotel Bookings

Note:

• the city tax in Florence is calculated per person, per day and must be paid directly at the hotel upon departure: € 3,00 in three-star hotels and € 4,00 in four- star hotels. 
• in case of tax/vat change, the rates quoted will be updated accordingly

Methods of Payment

Payments can be made as follows:

• by credit card: Visa, MasterCard, Diners Club

• No charge will be applied to credit card at the time of the reservation
• Cards will be charged by the hotel for the total amount of the stay 2 weeks prior to the Conference
• The relevant invoice will be issued by the hotel upon departure

• by bank transfer: amount in Euro payable to: Studio Ega Srl

• Pre-payment of the entire stay at the time of reservation required
• Surname and name of the participant and ISWA must be clearly indicated on the bank transfer slip
• A copy of the bank transfer must be sent by e-mail to the Secretariat of ISWA 2012 (fax: +39 06 3240143, email: reg.iswa2012@ega.it)
• The amount paid to the ISWA 2012 Secretariat will be transferred to the hotel and credited towards the participant account when checking-out
• The relevant invoice will be issued by the hotel upon departure

Important:
• Bank charges must be covered by participants
• Booking not accompanied by credit card details or copy of the bank transfer will not be taken into consideration.

Hotel Reservation Confirmation

Confirmation
• an automatically generated notification summarizing the booking request details will be sent to the participant via email as soon as the online booking procedure is completed
• a confirmation letter will be sent to the participant via email within 5 working days upon payment clearance

Cancellation Policy and Refund

All cancellations must be submitted in writing to the Secretariat of ISWA 2012 (fax: +39 06 3240143, email: reg.iswa2012@ega.it) and are liable to the following penalties and refunds:

• Up to 31 May 2012: no penalties
• From 1 June to 31 August 2012: one-night penalty fee
• From 1 September and in case of no-show: 100% penalty (full-stay)

Note:
Penalty fees will be charged on the credit card given to secure the reservation or deducted from the amount transferred by bank transfer. Refunds will be processed and issued within 30 days after the Congress.
